Conference Transcription

All professionals of different fields take part in conferences as part of business development. Therefore, conference transcripts are required by medical and legal professionals, property and financial institutions, students and universities and other corporate organizations.

Lots of vital information are circulated, exchanged and announced in conferences. It is very much essential to transcribe these conferences for word records of the information to share it with others or for future reference. Therefore, it is very important to get your transcription work done professionally and with complete accuracy. Conference transcription usually necessitates the need for intelligent verbatim transcription.

Providing conference papers to delegates and clients who didn’t attend the event is considered as an essential part of any post-conference business. The transcripts should pre-plan their work in an organized manner. The profile of speakers, reference material and other necessary relevant material should be well-studied in advance to know the background.

In order to get the best quality transcription of the records, those that are taking part in the conference should clearly identify them each time they speak and they should speak clearly and slowly. These days, many transcription companies are using cutting-edge equipments to provide digital sound, which makes the recording of such meeting a lot easier to produce. The reason why they use digital recordings for meetings is that the sound quality is considerably better than what you would find with taped recordings. If possible, make a digital recording to get clear sound instead of recording on cassette tapes.

Question and answer sessions are often tricky because of the range of different voices involved. The important thing in conference recording is that if you are going to have questions from the audience, you will really need ‘roaming microphones’ that can be carried around the audience, so that questions are actually audible on the recordings. You will also need a good conference-recording set-up so that your main speakers are clearly heard and if you have a panel question session, then you will also need separate microphones for each member of the panel.

Another useful tip is to provide the transcriptionists the list of speakers who are participated and a delegates list. And during the conference, ask all the delegates to state their name and position before discussion.

It is also important to provide the transcriptionist with any kind of supporting material relating to conference that they will help to establish key words that are particularly relevant to the topic.
